Q4Fun LLC ("q4fun," "we," "our," or "us") operates the q4fun platform, accessible at q4fun.com and queueforfun.com (collectively, the "Platform"). This Privacy Policy describes how we collect, use, disclose, and protect your personal information when you use our Platform, including our website, mobile web application, and related services.

By creating an account or using the Platform, you agree to the collection and use of information in accordance with this Privacy Policy. If you do not agree, please do not use the Platform.

2.1 Information You Provide Directly

• Account Information: name, email address, phone number, zip code, profile photo, and password (if not using federated sign-in).
• Family and Minor Information: names, dates of birth, and relationship details for minor dependents you add to your family roster.
• Club and Organization Information: club name, description, sport/activity type, location details, contact information, logo, and staff details (for club administrators).
• Registration and Event Data: event registrations, division selections, partner/team preferences, skill level, age information, waiver signatures, and related event participation data.
• Payment Information: billing name and address. Credit card numbers and bank account details are collected and processed directly by our payment processor, Stripe, and are never stored on q4fun servers.
• Communications: messages, feedback, support requests, and other communications you send to us.

2.2 Information Collected Automatically

• Usage Data: pages visited, features used, actions taken, timestamps, referring URLs, and interaction patterns.
• Device and Browser Information: device type, operating system, browser type, screen resolution, and language preferences.
• Location Data: approximate location derived from your IP address and the zip code you provide. We do not collect precise GPS location without your explicit consent.
• Cookies and Similar Technologies: session cookies for authentication, analytics cookies for Platform improvement, and preference cookies for user settings. See Section 8 for details.

2.3 Information from Third-Party Services

• Federated Sign-In Providers:when you sign in using Google, Facebook, or Apple, we receive your name, email address, and profile photo (if available) as authorized by you through that provider's consent screen. We do not receive your password from these providers.
• Stripe:our payment processor provides us with transaction confirmations, payout statuses, and dispute notifications. Stripe's collection and use of your payment data is governed by Stripe's own privacy policy.

We use the information we collect for the following purposes:

• Account Management: to create, maintain, and secure your account and family profiles.
• Platform Operations: to facilitate event registration, scheduling, tournament management, score tracking, bracket progression, standings calculations, and resource booking.
• Payment Processing: to process event registration fees, membership payments, court reservations, pool mode distributions, refunds, and related financial transactions through Stripe.
• Communications: to send registration confirmations, payment receipts, event reminders, schedule updates, match notifications, waitlist promotions, and other service-related messages.
• Discovery: to display relevant clubs and events based on your location and activity preferences.
• Platform Improvement: to analyze usage patterns, diagnose technical issues, improve features, and develop new functionality.
• Safety and Security: to detect fraud, enforce our Terms of Service, and protect the safety of our users.
• Legal Compliance: to comply with applicable laws, regulations, legal processes, or governmental requests.

4.1 With Clubs and Organizations

When you register for events, purchase memberships, or book resources, the administering club receives your registration details, contact information, and payment status as necessary to operate the event or service. Club administrators can view participant rosters, attendance records, and related event data for their club.

4.2 With Other Participants

Your name, profile photo, and participation details (such as match scores, standings, and bracket positions) are visible to other participants in the same event. In pool mode events where full transparency is enabled by the organizer, transaction details may be visible to all pool participants.

4.3 With Service Providers

We share information with third-party service providers who perform services on our behalf, including:

• Stripe: payment processing, connected account management, and financial reporting.
• Amazon Web Services (AWS): cloud hosting, data storage, email delivery (Amazon SES), and infrastructure services.
• Analytics Providers: aggregated and anonymized usage data for Platform improvement.

These providers are contractually obligated to use your information only as necessary to provide their services to us and in accordance with this Privacy Policy.

4.4 For Legal Reasons

We may disclose your information if required to do so by law, in response to a subpoena, court order, or other legal process, or if we believe in good faith that disclosure is necessary to protect our rights, your safety, or the safety of others, investigate fraud, or respond to a government request.

4.5 Business Transfers

In the event of a merger, acquisition, reorganization, bankruptcy, or sale of all or a portion of our assets, your information may be transferred as part of that transaction. We will notify you via email and/or a prominent notice on the Platform before your information becomes subject to a different privacy policy.

4.6 With Your Consent

We may share your information for other purposes with your explicit consent.

q4fun takes children's privacy seriously. Our Platform allows parents and legal guardians to create and manage profiles for minor dependents (children under 13 and minors under 18).

5.1 Information About Minors

• Minor profiles are created and managed exclusively by a parent or legal guardian.
• Minors do not have independent login credentials and cannot create their own accounts.
• All registrations, payments, and waiver acceptances for minors require guardian action.
• We collect only the information necessary for event participation: name, date of birth, and guardian relationship.

5.2 Parental Rights

Parents and guardians may at any time:

• Review the personal information we have collected about their minor child.
• Request correction or deletion of their minor child's personal information.
• Refuse to permit further collection or use of their minor child's information.
• Revoke consent by removing the minor profile from their account.

5.3 Advertising and Minors

We do not serve targeted advertising to minor users. Minor profiles are never included in advertising audiences or shared with advertisers. Activity data associated with minor profiles is not used for advertising purposes under any circumstances.

We retain your personal information for as long as your account is active or as needed to provide you services. Specifically:

• Account Data: retained for the life of your account plus 30 days after account deletion to allow for reactivation.
• Event and Participation Data: active event data is retained in our primary database for approximately 60 days following event completion. Historical participation records are retained in our analytical data warehouse for performance tracking, statistics, and historical reporting.
• Payment Records: transaction records are retained for a minimum of 7 years to comply with tax and financial reporting obligations.
• Communications: support communications are retained for 3 years.

You may request deletion of your account and personal information at any time by contacting privacy@q4fun.com. Certain information may be retained as required by law or for legitimate business purposes, as described above.

We implement commercially reasonable technical and organizational measures to protect your personal information, including:

• Encryption of data in transit (TLS) and at rest.
• Secure authentication via AWS Cognito with support for multi-factor authentication.
• Role-based access controls scoped to individual clubs and organizations.
• Regular security assessments and monitoring.
• PCI DSS compliance handled by Stripe — no credit card data is stored on or passes through q4fun servers.

No method of transmission over the Internet or electronic storage is 100% secure. While we strive to protect your information, we cannot guarantee absolute security.

We do not use advertising or tracking cookies. You can control cookie preferences through your browser settings. Disabling essential cookies may prevent you from using certain features of the Platform.

9.1 All Users

• Access: request a copy of the personal information we hold about you.
• Correction: request correction of inaccurate or incomplete information.
• Deletion: request deletion of your account and personal information, subject to legal retention requirements.
• Notification Preferences: opt in or out of specific notification types (email, SMS, push) through your account settings.
• Data Portability: request an export of your data in a structured, machine-readable format.

9.2 California Residents (CCPA/CPRA)

If you are a California resident, you have additional rights under the California Consumer Privacy Act (CCPA) as amended by the California Privacy Rights Act (CPRA):

9.3 Other State Privacy Laws

The Platform may contain links to third-party websites, services, or applications that are not operated by us. We are not responsible for the privacy practices of these third parties. We encourage you to review the privacy policies of any third-party service you access through our Platform.

The Platform is operated from the United States and is intended primarily for users located in the United States. If you access the Platform from outside the United States, your information will be transferred to and processed in the United States. By using the Platform, you consent to this transfer.

We may update this Privacy Policy from time to time. We will notify you of material changes by posting the updated policy on the Platform with a revised "Last Updated" date and, where appropriate, by email. Your continued use of the Platform after any changes constitutes your acceptance of the updated Privacy Policy.
