How are payments processed?

Q4Fun uses Stripefor all payments. Your card information is never stored on Q4Fun servers — it goes directly to Stripe. Payments are processed securely and you receive email receipts for every transaction.

What does a club need to accept payments?

Clubs must connect a Stripe account via Settings > Financials > Stripe Connect. Until Stripe is connected, the club cannot set prices on events, tiers, or bookings. The setup takes about 5 minutes and requires basic business information.

What are Q4Fun platform fees?

Q4Fun charges a small percentage on transactions:

  • Memberships — 1.5% of the membership fee.
  • Events & Tournaments — 5% of the registration fee.
  • Pro Shop Sales — 0% platform fee, included with Enterprise tier ($35/mo). Only Stripe processing applies.
  • Bookable Resources — Volume pricing: $20/mo each (1-10), $17.50/mo (11-25), $12.50/mo (26+). Staff-only resources are free.
  • Coach Bookings — Always free. No monthly fee, no per-booking fee.
  • Grassroots Events — 0% for events with 10 or fewer registrants at $20 or less per person.

Platform fees are separate from Stripe's processing fees (typically 2.9% + 30 cents). Clubs can optionally pass the platform fee through to participants. See the full Fee Schedule for details.

How do refunds work?

Refunds follow the cancellation policy set by each club:

  • Full refund window — Cancel within this period for a complete refund.
  • Partial refund window — Cancel within this period for a percentage refund.
  • No refund period — Too close to the event; no refund (unless within booking grace period).

Refunds are processed back to the original payment method. Processing fees are not refundable by Stripe.

Where can I see my payment history?

Go to Billing from your account menu. You will see a list of all your transactions including event registrations, court bookings, and membership payments. Each entry shows the amount, date, status, and a link to the Stripe receipt.

Can clubs set events as free?

Yes. Leave the price blank or set it to $0. Free events skip the payment step entirely. Participants register without entering payment information.

What is fee pass-through?

Clubs can choose to pass the Q4Fun platform fee to participants. When enabled, the fee is added on top of the listed price at checkout. When disabled, the club absorbs the fee and receives the listed price minus the platform percentage.

What about page subscription fees?

Clubs can upgrade their public page to Pro or Enterprise tiers for additional customization features (custom URL, featured items, carousel, etc.). These are monthly or annual subscriptions billed separately from event/booking fees.
