Events & Registration
What types of events can clubs create?
Q4Fun supports several event formats:
- Open Play — Drop-in sessions where anyone can show up and play.
- Tournament — Structured competition with divisions, pool play, and elimination brackets.
- League — Ongoing competition over multiple rounds with standings and rankings.
- Scramble — Random partner assignments for casual competitive play.
- Private Play — Invite-only sessions for specific groups.
How do I register for an event?
Open the event page and click Register. If the event requires payment, you will be taken to a Stripe checkout. If the event is at capacity, you will be added to the waitlist. Events with a registration window will only accept registrations during that period.
What is the difference between public and member pricing?
Events can have two price tiers: a member price for club members and apublic price for non-members. If public registration is enabled, anyone with a Q4Fun account can register at the public price.
How do waitlists work?
When an event reaches capacity, new registrations are placed on a waitlist. If someone cancels, the next person on the waitlist is automatically promoted and notified via email. Waitlisted registrations are not charged until they are promoted.
Can I cancel my registration?
Yes. Go to the event page and click Cancel Registration. The refund depends on the club's cancellation policy: there may be a full refund window, partial refund window, or no-refund period close to the event.
What are event visibility settings?
- Public — Visible to everyone, appears in browse and on the club page.
- Members Only — Only club members can see and register.
- Invite Only — Only people with the invite link can register.
How does check-in work?
Events can require check-in. There are two modes:
- Physical check-in — QR code scanned by a staff member at the venue.
- Virtual check-in — Participants self-check-in from their phone when they arrive.
Can I register a minor for an event?
Yes, if you are a guardian. Go to the event page and register on behalf of your child. Any required waivers must be signed by you as the guardian. Youth-only events restrict registration to minor accounts.
What is an event series?
A series groups related recurring events together (e.g., “Tuesday Night Open Play” every week). Each occurrence is its own event but linked for easy management.
How do I share an event?
Every event page has a shareable link. For invite-only events, the invite link includes a token that grants registration access. Use the copy link or share buttons to distribute.
