Communications & Privacy

How does communication work on Q4Fun?

All communication between participants happens inside Q4Fun through group chat rooms tied to your events, divisions, and teams. There are no direct messages between individual users. This is by design — group-level communication keeps interactions transparent and safe for all participants, especially minors.

Is my personal contact information shared?

No.Q4Fun never shares your email address, phone number, or any other personal contact information with other participants, captains, or club members. Other users only see your first name and last initial. All communication goes through the platform — your personal details stay private.

Why are there no private/direct messages?

Q4Fun intentionally does not offer one-on-one private messaging. All conversations happen in group channels where team members, captains, and club staff have visibility. This keeps the platform transparent, prevents harassment, and provides an extra layer of safety — particularly important when minors are participating alongside adults.

What types of chat rooms are available?

  • Event General — All participants in an event. Created automatically when the first person registers.
  • Division — Participants within a specific division (e.g. Men's 4.0 Doubles).
  • Team — Private to your team members only. Great for coordinating schedules and strategy.

Who can moderate chat?

Club owners, admins, and staff can moderate all chat rooms for their club's events. Tournament directors can manage conversations within their events. Inappropriate messages can be removed and participants can be warned.

How do notifications work?

Q4Fun sends notifications through three channels:

  • In-app — Bell icon in the header with unread count. Always on.
  • Email — Registration confirmations, match results, waitlist updates, event reminders, and team join requests. You can manage preferences in your settings.
  • SMS — Opt-in per registration. Used for time-sensitive tournament alerts like “court up” notifications when your match is assigned to a court.

Can I opt out of notifications?

Yes. Email notifications can be managed in your notification preferences. SMS is opt-in at registration time — you choose whether to receive text alerts. In-app notifications are always available but can be marked as read.

How are minors protected in communications?

Minors do not have their own logins or direct access to chat. All communication for a minor flows through their guardian. Minors cannot be contacted individually by other participants. Their personal information (including full name, date of birth, and contact details) is never visible to other users on the platform.

Can a captain contact a potential partner?

Captains can invite players to their team using an invite link or by sending an invite within the event's registration page. The invite goes through Q4Fun — no personal contact information is exchanged. The invited player sees the invitation in their Q4Fun account or receives an email notification at the address they registered with.

Does Q4Fun sell or share my data?

No. Q4Fun does not sell, share, or distribute your personal information to third parties. Your data is used solely to operate the platform and provide the services you signed up for. See our Privacy Policy for full details.
